Hybrid Schedule: 3 days in office / 2 days at home weekly

Job Summary

PatientPoint is looking for a Trade Shows & Events Coordinator who will support the Events team. You will be responsible for providing administrative support for trade show, event, and meeting activities. This is an excellent entry level position with opportunity for advancement.

What You Will Do
  • Assist in organizing trade shows, client events and internal meetings
  • Process invoices and expenses; track costs vs budget
  • Manage in-house inventory of physical trade show assets
  • Manage online inventory of all trade show assets
  • Test, pack and ship display materials, products and audiovisual equipment
  • Create shipping labels and track shipments to ensure that all materials are delivered on time for each show
  • Verify portable booths, supplies, products and audiovisual equipment are returned in good condition and arrange for any repairs and cleaning as needed
  • Assist with management of trade show logistics - registration, housing, products, booth equipment, marketing materials, transportation arrangements, on-site services, booth staffing schedules
  • Help to document activities prior to and during the events for internal and external communications
  • Occasionally travel to various trade shows to assist with logistics and management of the show
  • Travel to event site locations to +-10%
  • May be required to perform other duties as assigned

What We Need
  • Must be able to lift up to 50 lbs. on a regular basis (position requires setup and moving of display materials)

Desired Qualifications
  • Trade shows, events and/or meeting planning experience a plus
  • Experience with inventory management or exhibit asset management systems a plus
  • Bachelor's degree in Marketing, Communications, Hospitality, Project Management, or related field

What You Will Need to Succeed
  • Excellent communication, organization, customer service and project management skills
  • Ability to multi-task and manage several assignments at a time
  • Ability to follow through on deadlines with a sense of urgency
  • Proficiency in common office software, including Word, Excel, Adobe Acrobat, Outlook and PowerPoint
  • Willing to work occasional evenings and weekends
